Privacy Policy

Dairyvex (the “Service”) is provided by Codenz Technologies (“we”, “us”). This policy applies to the Dairyvex website at dairyvex.com, the web app and the Dairyvex mobile app for Android. Questions? Write to privacy@dairyvex.com.

1. Information we collect

Information you give us

• Account details: your name, business name, email address, phone number, country and password (stored only as a salted hash, never in readable form).
• Farm records you enter: animals, pens and buildings, milk records, breeding, health and treatment records, feed and inventory, customers and deliveries, staff, payroll and finance entries, notes and tasks. Photos or documents, if you attach them.
• Team information: names and email addresses of people you invite, and the roles and permissions you give them.
• Messages to us: anything you send to our support address.

Information collected automatically

• Technical data: IP address, device type, app version, language, and a random device identifier used to synchronise offline records safely.
• Security and audit logs: sign-ins, failed attempts and changes to records (who changed what and when), kept to protect your account and farm.
• Cookies and local storage: a secure, HTTP-only session cookie keeps you signed in; local storage remembers your language, theme and display choices. We do not use advertising or cross-site tracking cookies.

Information we do not collect

• The mobile app does not record audio. Voice entry uses your phone’s own keyboard dictation, and only the resulting text reaches Dairyvex.
• The mobile app does not access your contacts, photos, files, camera or precise location.
• We do not collect payment card numbers. Payments are arranged by bank transfer (see our Refund Policy).

2. How we use information

• To provide the Service: store and sync your farm records, show dashboards and reports, send alerts and reminders, and let your team collaborate.
• To create and secure your account: verify your email, sign you in, prevent abuse and detect unauthorised access.
• To send service emails: verification codes, password resets, invitations, billing notices and optional weekly farm summaries. We do not send marketing email without your consent.
• To provide optional AI features, only when you use them (section 4).
• To maintain, debug and improve the Service, using aggregated and de-identified statistics where possible.
• To meet legal obligations and enforce our Terms of Service.

We do not sell your personal information, and we do not use your farm data to train AI models.

3. Who we share information with

We use a small number of trusted service providers to run Dairyvex. They process data only on our instructions and under their own security commitments:

• Neon: managed PostgreSQL database that stores your account and farm records.
• Render: hosts the Dairyvex application servers.
• Vercel: hosts the website and web app.
• Resend: delivers service emails.
• OpenStreetMap: map tiles and address search in the farm location screen (your browser contacts these services directly).
• Google Play: distributes the Android app and provides crash and distribution statistics under its own policy.

Inside your own organisation, data is visible to the people you invite, according to the roles and permissions you set. We may also disclose information if required by law or to protect the rights, safety or property of our users or the public. If our business is ever sold or merged, your information may transfer to the new owner, who must honour this policy.

4. AI features

Dairyvex can offer a farm assistant and smarter voice parsing. When you use them, the text you type or dictate, and the farm information needed to answer your question, is sent to our AI provider (Anthropic) to generate a reply. We send only what is needed for that request. Using AI features is optional; the rest of the Service works without them.

5. Where your data is stored

Our infrastructure providers operate data centres in the United States and other regions. If you use the Service from another country, your information will be transferred to and processed in those locations, with the safeguards described in this policy.

6. How long we keep it

• Your account and farm records are kept while your account is active.
• If you delete your account, we remove your personal data and farm records within 30 days. Encrypted backups are overwritten within a further 30 days.
• We may keep limited records longer where the law requires it (for example billing records) or to resolve disputes and prevent fraud.

7. Security

We protect your data with encryption in transit (HTTPS), hashed passwords, role-based access control, per-organisation data isolation in the database, rate limiting, sign-in lockouts and audit logs. No system is perfectly secure; please use a strong, unique password and keep your devices updated. If you suspect a problem, contact us immediately.

8. Your rights and choices

• Access and export: you can view your records in the app and export reports as CSV.
• Correction: you can edit your profile and records at any time.
• Deletion: you can delete your account from the app, or follow the steps on our account deletion page.
• Email preferences: you can switch off the weekly summary email in Settings.
• Other requests: depending on where you live you may have further rights, such as objecting to or restricting processing. Email privacy@dairyvex.com and we will respond within 30 days.

9. Children

Dairyvex is built for farm owners, managers and workers. It is not directed to children under 18, and we do not knowingly collect their personal information. If you believe a child has given us information, contact us and we will delete it.

10. Changes to this policy

We may update this policy as the Service evolves. We will post the new version here with a new “last updated” date and, for material changes, notify you by email or in the app.
